What a visa officer checks

The booking must cover every night of the trip, name every traveller on the application exactly as their passport reads, and match the dates on the flight reservation and the itinerary. Gaps of even one night, a booking in only the lead traveller's name, or a hotel in a city not on your itinerary are the most common reasons an application is queried or refused.

Some consulates verify reservations directly with the hotel. A booking that has already been cancelled when they check is treated as a false document.

Refundable versus non-refundable

Book refundable rates so that a refusal does not cost you the room, but do not cancel until the decision is issued and, ideally, until you have travelled. Non-refundable rates are cheaper and carry more weight with some officers, so for strong applications with fixed dates they can be worth it; we advise case by case.

How we prepare bookings

We reserve rooms through our hotel partners with a confirmation letter on the hotel's letterhead that lists every guest, the room type, the dates and the booking reference, formatted the way consulates expect. For group applications we book blocks so that families and friends appear on one confirmation.

If the visa is granted, the same booking becomes your actual stay or is adjusted to the hotel you finally choose. If it is refused, refundable bookings are released without charge.

Mistakes to avoid

Do not use a screenshot of a booking site's search page, a reservation under a different name, or a hostel dormitory for a family application. Do not book a hotel whose rate is far below your stated budget or far above your bank balance; officers compare the two. And never submit a booking you intend to cancel before the decision.
